Major Food Group is hiring an experienced Administrative Assistant to join our corporate Facilities team!

The Administrative Assistant - Facilities is responsible for the timely and complete resolution of reactive and preventive maintenance across Major Food Group properties. We run an around-the-clock hospitality business across multiple cities and are looking for someone to provide critical Dispatch Support during vendor business hours.

RESPONSIBILITIES

  • Identify, build, and maintain relationships with reliable maintenance vendors across several cities – primarily serving Boston, New York, and Miami 
  • Create and schedule tasks for local maintenance technicians and adjust accordingly throughout the day using our internal CMMS scheduling system (UpKeep)
  • Coordinate repair work with third-party maintenance vendors as needed and ensure work is completed satisfactorily and within budget 
  • Regularly review all open issues and update statuses in real-time in order to provide the Managers, chefs, and the Facilities team the most up to date information
  • Communicate proactively and effectively with Managers, Chefs, maintenance technicians, vendors, and the Facilities Team. 
  • Follow up with Managers and Chefs to ensure that maintenance issues have been resolved 
  • Advocate for the Managers and Chefs requests and needs when necessary, ensuring vendors and local maintenance teams meet service SLAs 
  • Ensure Managers, Chefs, and landlords provide access when necessary for vendors & maintenance teams to perform their work 
  • Occasional travel to Miami, Boston, and New York may be required 

REQUIREMENTS:

  • 2+ years of administrative experience preferably in the hospitality industry 
  • Ability to work in fast-paced, collaborative environment
  • Strong organizational and time-management skills with attention to detail
  • Strong communication skills and the ability to handle sensitive and confidential information 
  • Ability to sit, stand and walk for prolonged periods of time 
  • Ability to lift up to 50 pounds 
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  •  An extremely organized team player who can also solve problems independently
  • Experience working with tech products (eg, G-Suite, Slack, Trello, etc)
  • Familiarity with commercial maintenance, multi-unit maintenance, and handyman work
  • Proficiency in Spanish  preferred but not required

Compensation: $25.00 - $27.00 per hour based on experience.
