Position Summary:
Il Giglio, nestled in the heart of Tribeca, is a celebrated destination for refined Italian cuisine, offering modern interpretations of classic dishes in a polished and welcoming setting. We are currently seeking a dedicated, highly organized, and detail-oriented Office Administrator.
The Office Administrator will play a critical role in supporting the restaurant's daily operations by overseeing administrative, financial, and operational tasks. This position ensures smooth back-office functions so that our front-of-house and kitchen teams can focus on delivering an outstanding guest experience. Ideal candidates will have a passion for hospitality, strong organizational skills, and experience in the restaurant or hospitality industry.
Key Responsibilities:
Administrative Support:
• Manage daily office tasks such as scheduling, correspondence, filing, and general office operations.
• Coordinate staff schedules, track attendance, and assist with payroll in collaboration with the management team. Experience with Toast POS is necessary for success in this position.
• Maintain accurate records of employee files, certifications, and compliance documentation.
• Monitor and manage inventory for office supplies and restaurant operational materials.
Financial Oversight:
• Assist in accounts payable and receivable, including invoice processing and reconciliations. Experience with Restaurant 365 is necessary for success in this position.
• Prepare and maintain financial reports such as sales summaries, tip distributions, and monthly budget reviews.
• Receives & reviews invoices for accuracy and presents any discrepancies to accounting.
Guest and Staff Communication:
• Professionally handle phone and email inquiries, including reservations, private events, and general guest questions.
• Support management by distributing updates, notices, and training materials to staff.
• Assist in resolving guest concerns or complaints that require administrative follow-up.
Compliance and Documentation:
• Ensure the restaurant complies with health, safety, and employment regulations by managing all necessary documentation and deadlines.
• Maintain all necessary permits, licenses, and certifications, ensuring timely renewals and updates.
• Oversee HR-related paperwork for onboarding, offboarding, and staff evaluations.
Qualifications:
• Proven experience as an office administrator or in a similar administrative role, preferably within the restaurant or hospitality industry.
• Strong organizational and multitasking skills, with a keen eye for detail.
• Excellent verbal and written communication skills, with the ability to interact professionally with both guests and staff.
• Proficiency in Microsoft Office Suite, Restaurant 365, and Toast.
• Basic knowledge of accounting and financial reporting is a plus.
• Ability to work both independently and collaboratively in a fast-paced, dynamic environment.
• Strong sense of discretion and confidentiality when handling sensitive information.
