Job Title: Marketing & Event Coordinator
Reports To: Marketing Director and Event Director
Salary: $20-25 + commission
Roberta’s is seeking a highly organized and motivated part-time administrative assistant to support both our Events and Marketing departments. This role involves managing day-to-day operations for events and catering while also providing essential support to our marketing team. From responding to event inquiries and managing logistics to maintaining marketing calendars, tracking campaigns, and organizing content, this role requires a detail-oriented individual who thrives in a fast-paced environment. The ideal candidate will be able to juggle multiple tasks, communicate effectively across teams, and ensure everything runs smoothly behind the scenes. This position offers an exciting opportunity to gain experience in both event management and marketing at a growing and dynamic company.
Qualifications:
- Strong organizational skills and the ability to manage multiple projects simultaneously.
- Experience with event planning or administrative support, preferably in the hospitality or food service industry.
- Excellent communication skills, both written and verbal, with the ability to interact with clients, vendors, and internal teams.
- Proficiency in Google Suite, Microsoft Office, and social media platforms.
- Ability to manage and update digital calendars and databases effectively.
- Strong attention to detail with a proactive approach to problem-solving.
- Previous experience in marketing or social media management is a plus.
- Savvy with social media strategy and content creation, with the ability to engage and grow online communities.
- Proficiency in Canva, with experience creating engaging graphics and marketing assets.
- Ability to work independently and as part of a collaborative team.
- Comfortable in a fast-paced, deadline-driven environment.
Responsibilities and Duties:
Event Department Admin Tasks
- Respond to event inquiries via phone, TripleSeat, and email to provide comprehensive planning details to guests within 24 hours
- Prepare BEOs and custom menus, advise on menu selections, post confirmed events, update calendars
- Communicate any changes to marketing, chef, and executive teams
- Assist with service during events if necessary
- Assist with large catering order delivery
- Manage the day-to-day workings of the Events/Catering Department
- Assist director on field meetings when necessary
- Update menus, information packets and floor plans as they change
- Field inquiries and execute group catering on and off-site
- Prepare and compile data for monthly forecast, strategic sales plan, various monthly reports, annual goals and other reports
- Assist Director of Events & Catering and Director of Operations on additional tasks as needed
Marketing Department Admin Tasks
- Scheduling and Calendar Management: Assist in scheduling meetings, events, and campaigns, ensuring all marketing timelines and deliverables are met.
- Campaign Tracking: Help track and update marketing campaign progress, ensuring all materials and content are aligned with timelines.
- Marketing Calendar Management: Maintain and update the overall marketing calendar, ensuring all key marketing activities are aligned with business objectives.
- Content Creation Calendar: Assist in managing the content creation calendar, ensuring timely production and distribution of marketing materials across all channels.
- Social Media Calendar: Help coordinate and manage the social media content calendar, ensuring timely and strategic posting on all platforms.
- Asset Management: Organize and maintain a repository of marketing assets (photos, videos, graphics, etc.) for easy access and efficient use in campaigns.
- Vendor and Partner Communication: Serve as a point of contact with vendors, collaborators, and external partners for marketing initiatives.
- Social Media Monitoring: Assist in monitoring social media channels for brand mentions, engagement, and trends, helping to compile monthly performance reports.
- Market Research: Assist with gathering market research, competitor analysis, and consumer insights to inform marketing strategy.
- Event Marketing Support: Help with the promotion of upcoming events via social media, email blasts, and other channels.
- Administrative Organization: Maintain organized systems for digital files, marketing materials, and branding documents.
- Budget Assistance: Help track marketing expenses and assist in preparing cost reports and invoices.
Compensation Details
Compensation: Salary/Hourly ($20.00 - $25.00)
