Role Description

This is a full-time on-site role as an Event Manager located in Nutley, NJ. The Event Manager will be responsible for planning, organizing, and coordinating events for GAC Hospitality Group. This may include birthday parties, corporate events, weddings, and other occasions. The Event Manager will be responsible for ensuring that events run smoothly and meet the expectations of our guests.

This person should be excited by the opportunity to customize experiences for event clients, lead a tight team and makes sure to always show exceptional hospitality to both our team and guests.

Responsibilities:

  • Oversee catering and events budgets
  • Receive, respond to and confirm all catering and event inquiries
  • Cultivate existing and new client relationships
  • Be proactive and network, reach out to all local businesses, hospitals, buildings in person or other means
  • Gain and maintain an understanding of the overall market (competitors’ strengths and weaknesses, economic trends, supply, and demand, etc.) and develop sales plans accordingly
  • Generate large business leads through proactive outreach to new clients and members of the community
  • Entering all POs directly related to catering in a timely fashion
  • Interacting and liaising with guests
  • Organizing, leading and motivating staff to provide the highest standard of service
  • Ensure events progress seamlessly by following established procedures
  • Ensure site visits; verify that the spaces are turned over properly and in a timely fashion for quality service delivery
  • Responsible for maintenance and development of the social events market and large scale events
  • Liaise with clients throughout the booking and planning process by negotiating pricing and estimates, generating contracts, securing payment details, etc
  • Follow department and company procedures to ensure confirmed events are communicated to appropriate internal & external
  • Work with clients for confirmed events on their customized menu options, beverage details, floorplans, room set up notes, run of show and all specifics
  • Work closely with confirmed event clients to finalize all food and beverage menus, floor plan layouts and furniture rentals, and any other custom offerings agreed to in their contracts.
  • Maintain and constantly updated event information in our catering software program to generate BEO's
  • Participate in meetings with chefs and managers to communicate all details for events and offsite catering orders.
  • Communicate in an organized and timely manner all of the logistics and specifics of the party to on-site management and provide on-site support for events where necessary to ensure proper execution of all event details
  • Assist in executing training materials and systems to educate staff to perform their jobs at the best of their ability
  • Assist in meeting budget objectives and timelines
  • Confirm final billing accuracy prior to and then process the final bill
  • Understand and enforce policies by all state and local regulatory bodies and government
  • Adhere to all standards, policies, and procedures
  • Perform other duties, responsibilities, and special projects as assigned

Qualifications

  • Experience in event planning and management
  • Strong organizational and project management skills
  • Excellent communication and interpersonal skills
  • Proficiency with events and reservations software (Tripleseat, Resy, Toast, etc)
  • Problem solving and critical thinking skills
  • Creativity and attention to detail
  • Ability to work under pressure and meet tight deadlines
  • Flexibility to work varying shifts and weekends
  • Bachelor's degree in Hospitality Management or a related field
  • Previous experience in the hospitality industry is a plus
