ABOUT THE COMPANY

Maxime’s is the newest opening from the club owner and entrepreneur Robin Birley; owner of prestigious private member’s clubs 5 Hertford Street and Oswald’s in London.

Opening early 2025, Maxime’s is located on Madison Avenue, New York on the site of the former Westbury Hotel and will continue the long-established Birley tradition of providing exceptional experiences to our members and guests.

POSITION SUMMARY

The Uniform Room Manager oversees the team and operation of the Uniform Room, ensuring that systems, equipment and processes are functional and effective in supporting the intake, maintenance, storage and distribution of uniform items to team members.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

Uniforms Management

  • Oversees the daily operations of the Uniform Room, ensuring the effective management and distribution of uniforms to Club employees.
  • Establishes processes to ensure Club employees are always provided with the correct uniform for their shift (including accessories), as per established standards.
  • Oversees effective use of the uniform management system to track and maintain full visibility of all stock, including uniform items onsite, in storage, and items with the cleaning company.
  • Ensures the Uniform Room’s systems and processes are working effectively, identifying ways to improve efficiency as needed.
  • Effectively manages Uniform Attendants ensuring they are fully briefed and trained in all aspects of their role.
  • Ensures Uniform Attendant(s) are fully briefed prior to any special events to ensure they can effectively distribute the correct uniform for the events, and correctly organize when the uniforms are returned.
  • Adheres to all Maxime’s grooming standards and assists in ensuring that all Club employees are following established uniform guidelines.
  • Ensures all new hires receive the correct number of uniform items, and that they are correctly labelled and inventoried.
  • Works collaboratively with Human Resources to coordinate employee measurement/fitting sessions with uniform designer/suppliers, ensuring all new employees have a uniform ready for their start date.
  • Maintains records of staff allocation on Invotech uniform system.
  • Adjusts all stock serviced and pre-used uniforms with the option to contract out as required.
  • Responsible for labelling and managing stock so that adequate par levels are available to accommodate most situations.
  • Handles sourcing and purchasing of specific items as required.
  • Monitors uniform quality and highlights any issues with the London office and relevant suppliers.
  • Verifies that outsourced uniform laundering meets required standards, flagging any discrepancies with vendor and London office as needed.
  • Ensures that employees are looking after their uniforms. Addresses any minor / initial upkeep issues with the employee, escalating to employee’s manager and Human Resources if needed.
  • Ensures full coverage to oversee the uniform dispatch machine, assisting in shift coverage, or coordinating coverage across the Housekeeping schedule as needed.
  • Trains Uniform Attendants on basic alterations/repairs (i.e. sewing buttons, basic mending), and establishes an effective process for communicating and tracking uniform issues within the department.

 

Leadership

  • Reviews department timesheets and submits to Payroll according to established process and deadlines.
  • Works with Club Director to build department work schedules according to business forecasts, payroll budget guidelines, and productivity requirements.
  • Collaborates with Human Resources and Club Director on recruiting and hiring needs for the department.
  • Ensures that team members are knowledgeable about Company operations and safety protocols, and facilitates any specialty equipment trainings as needed.
  • Develops and maintains training materials, ensuring all team members are well-versed in processes and expected standards.
  • Attends operations/management meetings, including Events/BEO meetings to ensure each department is prepared for business volume and staffed accordingly.
  • Directs monthly inventory for each department, ensuring accurate stock counts, monitors waste/loss, conducts ordering to established par levels and adheres to departmental budgets.
  • Completes additional tasks and duties as needed/assigned.

 

MINIMUM QUALIFICATIONS (EDUCATION, EXPERIENCE, SKILLS)

  • Prior experience using a uniform management system is required.
  • Knowledge of garment construction.
  • Ability to carry out standard garment alterations.
  • Capable of managing uniform stocks and inventory levels.
  • Experience with garment quality control.
  • Excellent attention to detail.
  • Strong organizational and prioritization skills.
  • Ability to highlight problems and work with suppliers on identifying solutions.
  • Good negotiating skills, and the ability to make cost-effective decisions.
  • Excellent communication skills, and the ability to adapt communication to different audiences.
  • Good understanding of operational controls, including budgeting, forecasting, and scheduling.

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • Ability to be flexible with job demands and open-minded when being asked to complete tasks.
  • Ability to operate and use all equipment necessary to run the Uniform and Housekeeping departments.
  • Ability to operate with grace under pressure.
  • Ability to work varied hours/days as business dictates.
  • Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
