Job Title: Office Administrator
 
Position Summary:
We are seeking an organized, detail-oriented, and proactive Office Administrator to manage the administrative and operational functions of our restaurant. As a key support role, the Office Administrator ensures the smooth running of the back-office operations, allowing the front-of-house and kitchen teams to focus on delivering exceptional guest experiences. The ideal candidate will have a passion for organization, a knack for problem-solving, and experience in the restaurant or hospitality industry.
 
Responsibilities:
 
Administrative Support:
 
Manage the restaurant’s daily administrative tasks, including scheduling, correspondence, and filing.
 
Coordinate staff schedules, track attendance, and assist with payroll in collaboration with management.
 
Maintain accurate records of employee files, certifications, and compliance documents.
 
Order and maintain inventory for office supplies and operational materials.
 
Financial Oversight:
 
Assist with accounts payable and receivable, including invoicing, expense tracking, and reconciliations into accounting software.
 
Prepare and maintain financial reports such as sales summaries, tip disbursements, and monthly budgets.
 
Process vendor payments, resolve billing discrepancies, and maintain vendor relationships.
 
 
Guest and Staff Communication:
 
Handle phone and email inquiries professionally, including reservations, event inquiries, and general questions.
 
Support management in distributing updates, notices, and training materials to staff.
 
Assist with resolving guest issues or complaints that require administrative follow-up.
 
Compliance and Documentation:
 
Ensure the restaurant complies with health, safety, and employment regulations by managing documentation and deadlines.
 
Maintain permits, licenses, and other necessary certifications, updating as required.
 
Oversee HR paperwork for onboarding, offboarding, and staff evaluations.
 
 
Event Coordination:
 
Provide administrative support for private dining and event planning, including client communication, contracts, and invoicing.
 
Work with management and kitchen staff to coordinate event logistics.
 
Qualifications:
 
Proven experience as an office administrator, preferably in the restaurant or hospitality industry.
 
Strong organizational and multitasking skills, with attention to detail.
 
Excellent verbal and written communication skills.
 
Proficiency in Microsoft Office Suite, Google Workspace, and restaurant management software (e.g., Toast, OpenTable).
 
Basic accounting knowledge is a plus.
 
Ability to work independently and collaboratively in a fast-paced environment.
 
Discretion and confidentiality in handling sensitive information.
