Sales & Coordination
- Manage client communications for drop-off catering, including:
- Taking orders and confirming event details.
- Responding to inquiries with clarity and professionalism.
- Following up with clients post-event for feedback and relationship-building.
- Review orders to ensure all necessary information, including pick-up or delivery specifics, is complete and accurate.
- Prepare kitchen worksheets for the culinary and delivery teams, ensuring clear instructions and timelines.
- Coordinate delivery logistics, working with drivers and management teams. This includes personally handling deliveries on occasion, as this is an expectation of the role.
- Proactively identify outbound sales opportunities by targeting local businesses, universities, and residential clients. Work with leadership to set and achieve quarterly sales goals for individual and team teams to grow the business.
- Oversee daily office operations, including:
- Collecting contracts and payments.
- Updating and distributing banquet event orders (BEOs) to internal teams.
- Printing menus and buffet cards and preparing event binders.
- Maintain inventory of paper goods and office supplies to ensure seamless execution of orders.
- Assist with staffing events by managing staff schedules and coordinating event-specific assignments.
- Support leadership in fostering team morale by:
- Building positive relationships with event and operational staff.
- Acknowledging exceptional performance and providing constructive feedback.
- Assist in implementing employee retention initiatives, such as feedback sessions or recognition programs.
- Mediate minor staff disputes or concerns and escalate complex issues to management.
Qualifications
Experience and Skills
- Minimum of 2 years of experience in event coordination, catering, or hospitality. Equivalent experience will be considered.
- Some sales experience is preferred but not required.
- Strong organizational and time-management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills, emphasizing clarity and professionalism.
- Proficiency in scheduling software (e.g., 7Shifts, When I Work, or similar platforms) and advanced use of spreadsheets (Excel, Google Sheets).
- Ability to problem-solve quickly and think critically under pressure in a fast-paced environment.
- High school diploma or equivalent is required.
- Bachelor’s degree or coursework in hospitality, event management, or a related field is preferred but not required.
- Must be available to work nights, weekends, and holidays based on event schedules.
- Ability to stand, move, and lift to 25 lbs. for extended periods during events.
- Reliable transportation to and from events and office locations is required. Accommodations may be available for individuals with disabilities.
