Accounting Associates's Responsibilities:
Assist with maintaining financial records, including:
- Preparing and recording journal entries in the accounting software system, including importing daily sales and month-end entries
- Reconciling bank accounts & other monthly reports, as assigned
- Assisting in preparation of monthly financial packages
Assist with accounts payables, including:
- Reviewing receiving logs & invoices from the entity’s operations for accuracy
- Entering payables and purchases into accounting software system, and flagging large or unusual invoices for approval from appropriate management
- Preparing vendor payment runs by building batches in the accounting software system, following vendor priorities and weekly budget determined by management
- Reconciling internal logs & trackers, as assigned (examples: utility, R&M, credit tracker)
Assist with managing vendor relationships, including:
- Monitoring and quickly escalating all issues relating to liquor payables
- Reconciling monthly vendor statements and communicating with vendors to request copies of missing invoices
- Assisting with 1099 processes, including adding and maintaining vendor records, and assisting with year-end 1099 processes
- Building and maintaining positive vendor relationships on behalf of the entity, and mitigating minor conflicts and escalations by vendors
Regulatory (Local, State, Federal) Duties:
- Prepare monthly sales tax worksheets
- Assist in preparing required documentation and information requested by auditors, as assigned
Leadership & Teamwork:
- Follow accounting policies & procedures to maintain internal controls
- Day-to-day supervision and delegation of tasks to team members, as assigned
- Oversee physical mail organization, scanning, and distribution to intercompany team members
- Support accounting team with projects or tasks, as assigned
