Job Details

Key Responsibilities:

  • Answer phone calls in a timely manner with focus on converting into a reservation, while following company service standards.
  • Input group rooming lists and facilitate all rooming list changes and billing
  • Processes all pick up and pace reporting and attend weekly group meetings
  • Processes all post group reporting including attrition and commissions to accounting
  • Maintain group blocks, rooming lists and reservations in system.
  • Ensure accuracy of room reservations and requests, general inquiries, maintaining group blocks and VIP reservations.
  • Attend pre-planning and/or pre-conference meetings with clients, as required
  • Creates Group Booking Links for all call-in groups
  • Manages group room inventory with aim of maximizing sell-through and revenue
  • Respond to both internal and external reservation inquiries within 24 hours.
  • Work with department to complete daily checklist and ensure tasks are completed efficiently and accurately, and assist team as needed.
  • Know, understand and communicate applicable deposit, guarantee and cancellation policies as requested.
  • Support Reservations Manager in day to day operation of department, monitor inventory and alert Manager of any urgent demand trends.
  • Collaborate with various departments to ensure flawless execution and participate in solving problems with other departments.

Qualifications:

  • Two-year degree minimum & Hotel experience preferred
  • One year reservations experience preferred
  • Knowledge of Excel required; knowledge of Hotel PMS and Delphi preferred
  • Use non-verbal/visual sources of information, e.g., reference graphs, tables.
  • Good interpersonal and presentation skills for working with third-party partners and the internal marketing with an executive team.
  • Due to the cyclical nature of sales, the work schedule may vary to reflect the business needs of the hotel/clients.
  • Legally authorized to work in the United States
