Food & Beverage Admin
The Opportunity:
The Century Association is seeking a skilled Food & Beverage Admin (FBA) to join the team. This new position has been created due to increased volume and member usage. The new FBA will be responsible for the day-to-day review of the fiscal and administrative side of the Club’s F&B business. Working hand in hand with the other members of the accounting staff, the FBA will have additional accounting responsibilities. The candidate must possess the ability to work well with others and have verifiable accounting experience.

Position Summary:
The Food and Beverage Admin will be responsible for providing administrative support to the Food and Beverage Director while being familiar with all aspects of the catering planning process. Assist in the organizing of all social events and act as a liaison with the Club’s Department Heads in all internal meetings.
This position requires a detail-oriented and organized individual with a minimum of two years of administrative experience and F&B knowledge.
Essential Duties and Responsibilities:
Reporting to the Director of Food and Beverage, the Food and Beverage Admini’s responsibilities include:
- Receive and respond to incoming telephone calls in accordance with Century Association Standards and assist with overflow calls.
- Prepare accurate written correspondence including letters, contracts, reports, banquet event orders, schedule of events, printed menus, and e-mails using the Century Association’s systems, NorthStar/POS.
- Maintain accounts, including traces, creating and updating bookings, and the preparation of Banquet Event Orders and contracts, inquiries and menus.
- Facilitate all aspects of the internal Century Association Meeting Program under the guidance of the Food and Beverage Director.
- Complete distribution of event correspondence to the Club’s operating departments as required. Examples: Banquet Events Orders, and any changes.
- Maintain the various Food and Beverage file systems, both electronic and paper, including Account Files, Program Evaluation Database, Master binders for Banquet Event Orders and Resumes
- Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, and paging system.
- In conjunction with the Food and Beverage Director, supervise the execution of banquet events. Review all function space with banquet manager and when required head house attendant. Ensure satisfaction of client at the outset of event.
- Comply with Century Association’s Code of Conduct, while working harmoniously and professionally with co-workers and department leaders.
Non-Essential Duties and Responsibilities
- Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks.
- Perform other tasks or projects as assigned by hotel management.
- Maintain an inventory of all standard department supplies and printed materials.
- In the absence of Management, assist members and seek out solutions to requests in a friendly, caring and helpful manner.
- Participate in scheduled departmental and administrative meetings as requested.
Prerequisites:
- Good verbal and written communication skills.
- Good analytics and reporting skills.
- Experience with Accounting System, POS Systems and cost and inventory systems.
- Ability to multitask, work in a fast-paced environment.
- Have a high-level attention to detail.
- Ability to work independently and to partner with others to promote an environment of teamwork.
Education & Experience:
- Bachelor of Science or 4-year bachelor's Hospitality or similar major
- At least 2 years’ experience at a similar or related role in a hospitality environment.
- Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to access and navigate each department at the Club’s facilities.
- Ability to frequently lift and/or move up to 20 pounds.
Compensation
The hourly range for this position is between $28 to $30 per hours based on the candidate’s experience, skill set, education, and other criteria. The Century offers full benefits including medical, dental, life insurance, vacation, sick and Holiday Fund.
