Job Details

NoHo Hospitality Group is seeking a Events Operations Manager to join their team at The William Vale Hotel.

The Events Operations Manager is at the forefront of customer service, responsible for the management of all aspects of the event service in accordance with company standards. This position also has a great deal of client interaction on the day/days of the events, and directs the event from setup to breakdown.  This position coordinates/executes all operational and logistical details between Food & Beverage and Catering & Events and other needed departments on property, i.e. Food and Beverage, Housekeeping, Engineering, Security, Front Office and all necessary outside vendors (Audio/Visual, Technical Support, Production, etc.).

Qualifications

  1. High school graduate or equivalent vocational training, some college preferred.
  2. 7 plus years experience as an Events Coordinator/Producer, preferably in a fine dining restaurant group or high volume event production company.
  3. Highly-developed knowledge of various food service styles.
  4. Excellent written and verbal communication skills with fluency in English, multilingualism will be considered an asset. 
  5. Strong leadership skills, highly-developed organizational and multi-tasking abilities and sound administrative skills. 
  6. Ability to input and access information in the property management system/computers.
  7. Excellent problem resolution skills and outstanding listening skills.
  8. Compute basic arithmetic. 
  9. Ability to work flexible hours as needed, based on the events calendar. 
  10. Familiarity with food and beverage cost controls.

Essential Job Functions

General Administration

  1. Participates in weekly BEO (Banquet Event Order) meetings with the F&B Management team to review upcoming events, discuss and rectify all logistical challenges, and to foresee all possible problems or hindrances
  2. Coordinates purchasing, renting, delivery and setup of all additional event utilities as well as contractual services, i.e. Audio/Visual support, Technical support, and other necessary equipment rental (glassware/cutlery, etc.)
  3. Maintains inventory and oversees that catering supplies and equipment are at appropriate pars.  Ensures that each event has the appropriate par before the day of the event
  4. Is an integral part of the hotel team in regards to maintaining appropriate hotel operational standards
  5. Hires and trains the Catering staff and creates and amends all training manuals as necessary and is responsible for development, counseling and coaching of catering team members under supervision of Director of Catering & Events.
  6. Schedules Catering Captains, Servers and Housemen, release the schedule weekly
  7. Provides weekly payroll audits for catering team members and management.  Responsible for keeping budget payroll in line monthly

Operational Execution

  1. Creates individualized plan for the day of event execution and finalizes all logistical demands.  Oversees and directs day of event execution and operational logistics
  2. Acts as operational liaison/point of contact person with client on the day of the event

Event Recap

  1. Communicates final billing charges to client on the day of the event (overtime charges, guest overages, etc.)
  2. Rings in all events, posts charges, charges client on the day/night of the event

Secondary Job Functions

  1. Gain continuous familiarity with all operating systems and procedures of venues.
  2. Promote the NHG vision and brand at all times.
  3. Be responsive; Answer emails, voice mails and other communications in an immediate fashion.
