SUMMARY
In collaboration with the General Manager, oversee the development and implementation of all Capital Expenditures (Capex), including but not limited to budget development, asset purchasing, and communication facilitation between the property, Atelier, and all relevant ownership groups. In addition, maintaining all design-related spaces in accordance with Ace Hotel’s internal brand standards through aiding in preservation techniques, communication methods, and training standards in partnership with all department heads.
 
CORE FOCUS & ESSENTIAL RESPONSIBILITIES
Qualified candidates must be able to satisfactorily complete the following responsibilities. Other duties may be assigned.

  • Provide oversight, assistance, and guidance in all projects related to Capex management.
  • Assist and oversee all communication of project details, deliverables, and implementation methods to all relevant parties, including department personsonnel, asset managers, Atelier and ownership groups.
  • Provide assistance, guidance and counseling to the General Manager, lead staff, management staff and line employees in order to maximize the quality and professionalism of the hotel staff by listening and interpreting concerns and objectives and seeking win-win solutions.
  • Develop systems and processes related to the management of all hotel personnel to ensure the maintenance of a positive and productive employment environment.
  • Assist the lead and management staff in effective asset preservation methods, asset damage solutions, and continual asset maintenance support .
  • Maintain Ace Brand’s standard for design and hospitality through facilitating and streamlining communication between Atelier and property personnel.
  • Facilitate and assist in producing all relevant materials that aid in communication between parties, including presentations, administrative tools, and weekly meetings.
  • Demonstrate knowledge of and provide insight to hotel operations relevant to all design and Capex-related projects.
  • Develop, maintain, and oversee project budgets in collaboration with Atelier and related financial stakeholders in asset purchasing and maintenance.
  • Assist in identifying and communicating with Capex and operations-related vendors, artists, and community members.
  • When necessary, partake in travel related to maintaining and delivering Ace Brand standards in relation to design, operations, and general asset management.
  • Incorporate property personnel into department-specific projects through information synthesizing, presentations, and recurring meetings as needed.
  • Assist with and maintain both operational and departmental project deliverables as requested by General Management.
  • Work specifically with Engineering, Housekeeping, Front Desk, Food & Beverage, and Cultural teams to develop, identify, and continue current and future asset maintenance and Capex-related project deliverables.
  • Develop reports and project updates as requested to General Management, Ownership groups, and Atelier.
  • Attend Department Head Meetings, Safety Committee Meetings and weekly operations meetings, while taking notes and distributing meeting notes to attendees.
  • Conserve Executive and Lead Staff’s time by researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Represents the GM by speaking for her/him when requested to do so.
  • Welcomes clients, guests and employees by greeting them on the telephone; answering or directing inquiries. Take messages and communicate to GM in effective manner.
  • Completes projects in a timely manner and prepares reports by collecting and analyzing information. Secures information by completing database backups.
  • Coordinate community outreach programs in collaboration with company philosophy and humanitarian initiatives.
  • Liaise with all departments to ensure Atelier Ace cultural initiatives are understood and implemented.
  • Attends local hospitality and design-related gatherings and community events, as relevant to property operations and asset management.

  • Ability to compute basic mathematical calculations.
  • Maintains the asset through project lists that ensure resources are secured and managed
  • Walks property daily keeping an updated list on an ongoing basis
  • Actively works with the Atelier design team on sourcing items that speak to the Ace brand
  • Interacts with vendors regarding Capex projects and ongoing property improvements
  • Works cooperatively with Housekeeping and Engineering to identify and rectify deficiencies
  • Assists the General Manager, Chief Engineer, all departments and the Atelier Design Team with Capex projects; ensuring desired outcome in a timely manner
  • Works with Controller on maintaining Capex budget spreadsheet
  • Processes purchase orders and assists in sending to ownership for approval
  • Assists in keeping projects moving and on schedule

REQUIRED EDUCATION and/or EXPERIENCE
High school diploma is required. College degree in hospitality management, business administration, human resources management or similar is preferred. Previous experience working in general management, project management, hotel operations, or as a department administrator is preferred.
 
LANGUAGE, MATHEMATICAL, and REASONING ABILITIES
Candidate must meet the following cognitive abilities:

  • Ability to understand guests’ service needs & requests.
  • Ability to acknowledge guests’ requests in a polite manner.
  • Ability to clearly communicate in verbal and written English (additional foreign languages are encouraged and preferred).
  • Ability to apply logical thinking and understanding to carry out written and oral instructions.
  • Ability to address and solve problems involving guest and operational issues.
  • Ability to compute basic mathematical calculations.

PHYSICAL DEMANDS / WORK ENVIRONMENT

  • Lift / carry 15 lbs (frequently) and 30 lbs (occasionally)

  • May be exposed to extreme temperatures, dust, dampness, height, and moving machinery.
